Managing an offshore / Virtual Assistant team presents a few challenges, which – If considered thoughtfully – can enable your team to thrive!

  1. Clear Communication Channels: Define the best channel for phone, Video and messaging.  We’ve found some clients use a combination of Slack, Teams, SMS and Whatsapp messaging tools; It’s hardly surprising that their Offshore Virtual Assistants were a bit lost. Stick to a platform and set up the right groups – Make sure you team have access and set expectations around responsiveness.
  2. Define Roles and Expectations: Clearly define roles, responsibilities, and expectations for each team member. People who know where they fit and what’s expected of them typically thrive.  Setting smart goals and objectives makes sure everybody is on track and motivated.  Offshore teams need to know that they are on track, and if they need extra support, smart objectives or KPIs help to identify the gaps.
  3. Use Tech Tools: Leverage project management and collaboration tools to streamline workflows and enhance productivity. These meetings help in maintaining a connection with the team, monitoring progress, and identifying potential challenges early on. Ideally this will be for set times and relevant project stakeholders onshore and offshore should attend.

Provide comprehensive resources, documentation, and training sessions to ensure that everyone is aligned with your company’s processes and expectations.  It really doesnt work to drop new starters in at the “deep-end” wherever they are based.

  8. Encourage Open Communication: Foster an environment where team members feel comfortable expressing their thoughts and concerns. Encourage open communication through regular feedback sessions, surveys, or suggestion boxes. This helps in resolving issues promptly and improving team morale.
  9. Team Building Activities: Where geographical barriers prevent regular face-to-face activities, virtual team-building activities to strengthen the bonds among team members.
